A calendar invitation tells you when a conversation will happen. It does not tell you whether the conversation is worth your sales team's time. An outbound engagement needs a shared definition of qualification before anyone starts sending.

Start with company fit

Write down the industries, regions, company sizes, and use cases you can serve. Include exclusions. A company outside your delivery territory or below your minimum project size should not become a qualified meeting simply because someone replied.

Check the person and the reason to talk

The contact should own the relevant problem, influence the decision, or provide a credible route to the right stakeholder. Confirm that they understand the purpose of the call and have expressed interest in discussing it. Accepting a connection request is not buying interest.

Separate booked from held

Track booked meetings, attended meetings, and sales-accepted opportunities separately. Record cancellations and no-shows. A meeting can be well qualified and still fail to take place, so report attendance alongside qualification.

A practical handover

  • Company, contact, role, and relevant fit criteria.
  • The prospect's stated reason for agreeing to the conversation.
  • Research sources and the date you checked them.
  • Known requirements and questions still unanswered.
  • Confirmed time, participants, and next-step owner.

Budget and timing may be unknown before discovery. Say so. The aim is an honest handover that helps a salesperson begin a useful conversation.
