Outbound creates the initial conversation. Sales needs enough context to continue it without asking the prospect to repeat everything. A brief prepared before the call makes that transition easier.
What to include
Record company fit, the contact's role, the message that prompted the reply, and the prospect's own words about their interest. Include relevant research links and label any assumptions.
Prepare discovery questions
Suggest questions based on the known context. For a staffing conversation, these might cover required skills, delivery deadlines, procurement steps, and whether external support is already used. Leave room for the buyer to explain a different priority.
Set ownership
Name the person who confirms the meeting and the person who follows up after it. Put the outcome in the CRM, including whether sales accepted the opportunity and why.
Close the feedback loop
If sales repeatedly rejects meetings for the same reason, change the campaign's targeting or qualification criteria. Recording rejection reasons gives outbound a specific problem to fix.
A handover is complete when the next owner has the information needed to act and understands what remains uncertain.
